Privacy policy
This explains what information this site collects when you create a memorial, where it goes, and who can see it. It's written in plain language on purpose. It's not a substitute for legal advice: if you need a formal answer about your data rights, talk to a lawyer or your local data protection authority.
What we collect
When you fill out the submission form, we collect:
- About the person you're remembering: a name, birth and death dates (optional), a short tribute, an optional longer story, and an optional photo. None of this has to be their legal name or a real-world photo, see below.
- About you, the submitter: your name (required so moderators know who submitted it), your email (optional), and your relationship to the person (optional).
- Automatically, without you typing it: the IP address your submission came from, and the time you submitted it. This is used only to spot spam and abuse patterns; it's never shown publicly and moderators reviewing your submission don't see it.
You can use a VRChat name, an in-game persona, or an avatar screenshot instead of a real name and photo for the person being remembered, whatever they'd actually want. This is also a real way to reduce how much real-world identifying information about them ends up here at all, if that matters to you or their family.
What happens to it
Every submission is saved to our database as "pending," then a notification, including the memorial's details and your name, relationship, and email if you gave one, is sent to a private moderation channel so a person can review it. A moderator approves or rejects it:
- If approved: the memorial itself (name, dates, tribute, story, photo) becomes visible to anyone on this website and inside the linked VRChat world. Your own name, email, and relationship are not published; they stay internal to moderation.
- If rejected: nothing about it is made public. The submission stays in our database (so we have context if you ask why, or resubmit) but isn't shown to anyone beyond moderators.
Photos
Any photo you upload is automatically re-processed before it's stored: hidden metadata (including embedded location data) is stripped, and the image is resized and re-encoded. See the content policy for guidance on choosing a photo where other identifiable living people aren't included without their consent.
Who can actually see what
| Data | Public (anyone) | Moderators |
|---|---|---|
| Memorial content (name, dates, tribute, story, photo) | Yes, once approved | Yes |
| Your name, email, relationship | Never | Yes |
| Your IP address | Never | No, operator-only |
Services this data passes through
- Discord, via a moderation bot ("Eva"). New-submission notifications, including your submitter name, relationship, and email, are posted to a private Discord channel so a moderator can review them there. Eva is a bot we run alongside other, unrelated projects; it isn't a third-party company we've contracted with, but Discord itself is a third-party service subject to Discord's own privacy policy.
- VRChat. Approved memorial content (never your submitter info) is displayed inside a VRChat world. Visiting that world is subject to VRChat's own terms and privacy practices.
- Our own server. Everything is stored on infrastructure we run ourselves, not handed off to a large third-party cloud data processor.
How long we keep it
Approved and pending memorials are kept indefinitely unless you ask us to remove or change one, see Disputes & takedowns in the content policy for how. Rejected submissions are also retained rather than deleted, so we have context if you resubmit or ask why, but they're never shown to anyone beyond moderators.
Cookies and tracking
We don't use tracking cookies, analytics, or advertising of any kind on this site, and pages use your device's own fonts, so loading one doesn't contact anyone else.
The only cookies are the ones that make the optional Discord login work, and they're set only if you use it: one that remembers you're logged in, for up to 30 days or until you log out, and a short-lived one, lasting ten minutes, that protects the login itself while you're sent to Discord and back.
Children's data
This site follows the same minimum age as the VRChat world it feeds: 13 and up, with parental permission if you're under 18. See the content policy's Age section for more.
Your choices
You can ask us what data we hold about a submission, ask us to correct it, or ask us to remove a memorial entirely, whether you're the original submitter or a family member. Use the same contact as the content policy's Disputes & takedowns section.
Security
We take reasonable steps to protect this data (encrypted connections, access limited to people who need it for moderation), but no online service can guarantee perfect security.
Changes to this policy
If how we handle data changes meaningfully, we'll update this page. Check back occasionally if you're curious.
Contact
Questions about this policy, or a request about your own data, go through the same contact as the content policy's Disputes & takedowns section.
